Job Description:
The Receptionist/Administration Officer is responsible for providing efficient and effective front office reception and switchboard duties and providing administrative assistant to Tennant Creek Regional Office Staff
Job Responsibilities:
- Screening of all visitors and incoming calls;
- Notifying staff of appointment arrivals
- Taking messages for absent/unavailable staff and sending messages electronically;
- Assisting the general public with enquiries; and
- Ensure the CLC reception area is kept in a presentable manner.
- General Administrative duties including:
- Ensuring program areas are maintaining effective and consistent document management by supporting the use of eDIS, CLC’s electronic document management system, as a Power User.
- General reception duties including:
- Managing incoming and outgoing mail, airbags, faxes and correspondence for distribution to appropriate peoples;
- Maintaining stationary stock supplies;
- Assisting in the preparation of general correspondence for Tennant Creek Regional Office staff;
- Developing and maintaining efficient administrative systems and processes in the regional office; and
- Maintain the petty cash system.
- Assist the permits section with permit applications relevant to the region.
- With advice from the CLC information services section, assist in maintaining a library service for Tennant Creek Regional office.
- Assist other Central Land Council staff in the preparation of scheduled meetings.
- Other duties that are safe, legal and logical while being within limits of the employee’s skills, competence and training consistent with the classification structure.
Job Requirements:
- Knowledge and understanding of the overall context in which the Central Land Council operates.
- Knowledge of Aboriginal society and culture and an understanding of relevant contemporary issues.
- Knowledge and experience of Aboriginal people in the Central Australian setting will be highly regarded.
- Good interpersonal skills and ability to communicate with staff at all levels, in particular, ability to communicate effectively with Aboriginal people and to respond appropriately to a variety of people and situations.
- Sound computer skills across a range of applications, including Microsoft Word, Excel, Access and outlook, for work processing, spreadsheets, databases, electronic filing and information retrieval systems.
- Ability to participate and contribute to the word area as a team member.
- Ability to exercise discretion, sensitivity and confidentiality with all verbal and written communication.
